Services Privacy Policy

Raptor Technologies, LLC and its affiliates and wholly owned subsidiaries (collectively, “Raptor,” “we,” or “us”) provide a variety of technology solutions (collectively, the “Services,” and each, a “Service”) for schools, school districts and other educational institutions (collectively, “Customers”). This Services Privacy Policy (the “Policy”) applies to the information we collect on behalf of our Customers in connection with the Services we provide to Customers (“Customer Information”) and describes how we collect, use, and disclose Customer Information in connection with the Services.

Customer Information may relate to different types of individuals, including Customers’ staff, volunteers, visitors, students, parents/guardians, and other individuals. Information We Collect

Depending on the Services we provide to a Customer, Customer Information may include some or all of the following categories:

  • Contact information, including name, physical address, email address, phone number and employment information (such as job titles and employer names);

  • Account information, including username, password and other credentials associated with the Services, including any credentials provided by Customers for support purposes;

  • Government-issued identification, such as national identification number (e.g., passport number, permanent resident card number, military ID), state or local identification number (e.g., driver’s license of state ID number), an image of the relevant identification card and the information that may be contained on the card, and a copy of information that may be readable through a barcode on the relevant ID card;

  • Attendance and hall pass information, such as dates and times of arrival and departure, attendance in classes, and hall pass permissions.

  • Dismissal information, such as pick-up times, persons and vehicles authorized for pick-up, and confirmation of pick-up.

  • Health screening responses, such as any symptoms individuals report as part of a health screening process or service.

  • Photo information, such as photos or camera images from a phone or other device.

  • Geolocation information, If enabled, our Services will collect information about precise geolocation to provide certain location-enabled features, such as the user’s location during an emergency.

  • Usage information, including information we log automatically when individuals use any applications in connection with the Services, such as the times and frequency of access to the application, interactions with application features, and other technical information.

How Customer Information Is Used

We use Customer Information to provide our Services as directed by our Customers . Depending on the Service this may include:

  • Administering Customer accounts and allowing Customers to access the Services and their features;

  • Allowing Customers to screen and track visitors to Customer buildings; manage volunteers; manage attendance, hall passes and dismissal processes; undertake health screenings; prepare for, respond to, and recover from emergencies; identify student wellbeing concerns, and develop and engage in compliance and training initiatives;

  • Providing information to our Customers, such as reports and analytics about use of the Service or information about incidents or events (which information would only be provided on an anonymous and aggregated basis;

  • Troubleshooting, monitoring, securing and maintaining the Services; and

  • Communicating with you about Services that may be of interest to you.

We also use Customer Information to monitor, analyze and improve the performance of the Services. We may access Customer information to ensure the Services are performing as expected, to address and resolve errors, to identify areas for Service improvement, and to provide Customer support. We may also create aggregated, de-identified or other anonymous statistics about the Services, which we may use to for our lawful business purposes, such as for troubleshooting, reporting on Service performance and results, and to identify business opportunities, including the development of new Services.

Where required, we will use Customer Information for compliance and protection purposes.  Where necessary, we may use Customer Information to comply with applicable laws, lawful requests, and legal process, such as to respond to subpoenas or requests from government authorities; protect our or others’ rights, privacy, safety or property (including by making and defending legal claims); and prevent, identify, investigate and deter fraudulent, harmful, unauthorized, unethical or illegal activity, including cyberattacks and identity theft.

How We Share Customer Information

We may share Customer Information with third parties in support of contracted Services or at the instruction of our Customers, including as follows:

  • With our service providers. We may share Customer Information with companies and individuals that support our provision of the Services and operate under contract with us to protect Customer Information. Our service providers include hosting and information technology services, and other Raptor group companies.

  • At the direction of the Customer. Our Customers may direct us to integrate a Service with third-party offerings, software, or applications. In such cases, we will share Customer Information with those third parties at the Customer’s direction.

  • For compliance and protection purposes. Where we believe in good faith it is necessary for the compliance and protection purposes described above, we may share Customer Information with professional advisors, such as lawyers, auditors, bankers and insurers, with government authorities, such as law enforcement and education administrators, and with private parties in connection with litigation or other legal process.

  • In the event of a corporate transaction. In the event of a corporate divestiture, merger, consolidation, acquisition, reorganization, sale or other disposition of all or any portion of our business or assets, we may share Customer Information with acquirers and other relevant participants in the transaction.

Privacy Choices

Customers are responsible for the Customer Information we process through the Services, including providing any rights and choices required by applicable laws. Where directed by Customers in accordance with our contracts with them, we support certain privacy requests, including access, correction and deletion requests. Individuals who wish to understand their rights and choices in connection with a Customer’s use of our Services should direct their questions to the relevant Customer.

Data Security and Retention

We implement commercially reasonable physical, electronic, and procedural safeguards designed to protect Customer Information in accordance with our Customer agreements. Services. We will retain Customer Information for the period necessary to fulfil the purposes outlined in our agreements with our Customers.

Changes to This Privacy Policy

This Policy may be modified at any time and the updated Policy will be posted on our websites.
